Privacy
How RUAA collects, uses and protects information about alumni and visitors.
Who we are
The Riverbend University Alumni Association (RUAA) operates this website for RUAA Global, RUAA United Kingdom and its chapters. Each chapter is responsible for the members it verifies.
What we collect
- Membership details: your name, email, RU school, programme and graduation year, the country you live in and your home chapter.
- Optional profile details: job title, employer, city, interests, a short bio and links you choose to add.
- RUAA registration form: RUAA also takes registrations through its Google Form. Its answers (including date of birth, occupation and a social media link) come into this website, and registrations made here are added to the same RUAA-owned Google Sheet, with the form's questions only, so RUAA keeps one membership list without duplicates. Your date of birth is shown only to you and the administrators.
- Activity: event RSVPs, messages you send through the contact form and jobs you post.
- Member chat: messages you exchange with other members are stored so both of you can read them. They are not shown to anyone else on the site, including administrators, unless one of you reports the chat: then the latest messages are shared with the admins who review the report. You can switch chat off or block a member at any time. See the message rules.
- Technical data: a session cookie that keeps you signed in and protects forms. We do not use advertising trackers.
Your visibility choice
You decide who can see your directory profile:
- Global: approved members in every chapter.
- Chapter: approved members of your home chapter only.
- Hidden: nobody except chapter and global administrators, who need it to verify membership.
Only approved members can see the directory. Your email and phone number are shown only if you choose to share them. You can change these settings at any time in your account settings.
How we use information
- To verify that you are an RU graduate and approve your membership.
- To run events, meetings and the directory, and to issue your digital alumni ID.
- To send association news you have agreed to receive.
We never sell member data or share it with sponsors or partners.
Retention and your rights
We keep your membership record while you are a member. You can ask us to correct or delete your data, or send you a copy of it. Write to us using the contact form and choose the Membership category.
Cookies
We use only cookies that are essential for the site to work, so we do not ask for consent:
- kantha and kantha.sig: keep you signed in and protect forms against forgery. They expire after 30 days, or when you sign out.
We do not use analytics, advertising or tracking cookies. When you join a live course session, the video service (Jitsi by 8x8 or YouTube) may set its own cookies. Your browser remembers that you closed the cookie notice; this is stored on your device, not sent to us.
Facebook pages
RUAA and its chapters can connect their Facebook pages to this website. An admin of the page signs in with Facebook and allows the website to publish posts on that page and read the page's own posts. We keep only the page's name, its ID and an access key, stored encrypted, and use them only to post news and events on the page and to copy the page's posts (text and photo) into the chapter's news. We do not read members' Facebook accounts, friends or messages.
To remove the connection and the stored key, a page admin can disconnect the page in the website's admin area, or remove the RUAA app in Facebook under Settings, then Business integrations. You can also ask us to delete this data using the contact form.
Security
Passwords are stored as one-way hashes. Traffic is encrypted, and administrator actions are recorded in an audit log.
